Best practice for events

Documents

  • For a one-day event, upload venue and area information under Travel Documents. Include a venue map and overview, dining information, transport advice, accommodation details, and an area guide.


  • Under Destination Documents, add event-related information, such as the schedule, speaker list, tickets, guest list, sponsors, afterparty information, etc. 




  • For a multi-day event, upload anything non-event-related under Travel Documents, including boarding passes, local transport recommendations, podcast recommendations, lodging information, local food and dining, and a city or area guide.   


  • Under Destination Documents, add all links and PDFs relevant to the event itself, including tickets, daily schedules, speaker lists and bios, guest lists, a guide to the centre, food and dining at the event, etc.

Locations

  • Under Locations, add the event venue, accommodation, and afterparty venue as primary locations.


  • For Points of Interest (POIs), set these to a 10km or 30km range, as attendees are unlikely to travel further outside the event centre and hotel radius.


  • For a single-day event, keep POIs practical. Add all transportation stops that will or could be used by attendees, including airports, metro stops, bus stops, etc. If lunch is not included at the event, include nearby dining suggestions that are close to the event centre.


  • For a multi-day event, include all relevant transportation stops and dining recommendations in the immediate/close area of the venue centre. Also add local sites and recommendations, such as nearby bars, historical sites, parks, and hotspots. 



Storyboard

  • For multi-day events: Show dates on Storyboard frames with the daily itinerary, and hide dates for information-based frames.  


Top tip: Remove the date and day number on certain Storyboard frames by beginning the title with a hashtag, i.e. '#Food and Dining'.

 



  • For a single-day event: 'Hide dates' when creating the Storyboard for your event.



  • For information-based frames for single or multi-day events, include travel and transport recommendations, welcome details, the full schedule for one-day events, a guide to the event venue, food and dining info, and accommodation information.


Notifications

  • Use notifications to keep your attendees informed during the event. Send a notification the day before the event begins to remind guests to review their relevant documents. 
    • If the event is multi-day, send a nighttime reminder the night before each day for attendees to check the upcoming daily schedule.  


  • During the event, send out a notification before each upcoming session, with details about where attendees should proceed within the venue. 


Top Tip: Schedule a notification one to two days after their trip has concluded with a linked feedback form to easily gather client opinions.



Additional Tips

  • If there is staff availability, turn on the Messaging feature for the day(s) of the event so you can easily and quickly respond to any queries from attendees.  



Top Tip: Under People, add the names of everyone attending the event. To input a large number of names at once, copy and paste a list from a spreadsheet and paste this into the name for one added person - each name will be added individually.


  • You can even personalise flights, storyboard frames, and documents to only be visible to specific people. This is especially useful if you have clients taking different arrival and departure flights, or there are different activities.
